1. Exhibition fee

Booth Unit Size Per Booth
9m2 (about 3m x about 3m) 105,000yen ( Included Consumption Tax )
(about 880$)


1) Types of Exhibition Booths Available
- Two types of exhibition booths are available: standard booth and space booth. A space booth consists of four standard booths (2 rowsX2 rows) or more and will be handed over with a boundary marked by the Secretariat.


2) Included in exhibition fee
1. Basic furnishings

a) Side walls
b) Parapet
c) Company name panel (two-sided)
d) Area sign (two-sided)
e) Folding chairs
f) Fluorescent lamp (1 per standard booth)
g) Burden charge for electrical equipment up to 1.5kw including a 2-slot electrical outlet socket (including rental fee and construction cost)
* A space booth (4 booths (2 rows_2 rows) or larger) includes only c) and d)(other furnishings are not included), and burden charge for electrical equipment is incurred separately.
* Exhibition fee remains the same even if the basic furnishings are not used.
2. Badges for exhibitors and contractors (3 badges per booth respectively)
* Should extra badges be required, an extra cost will be incurred.
3. Printing of the company name in the venue guide map and Anime Fair brochures, etc.

3) Charged separately

Burden charge for electrical equipment (except for the charge up to 1.5kw, including a 2-slot electrical outlet socket), telephone wiring cost, telephone line rental fee, etc



2. Application for exhibition
1) Application period
September 1 (Wed), 2004- October 29 (Fri), 2004
2) How to apply
Fill in the required information in the application form on the Tokyo International Anime Fair 2005 website and submit the completed form online.
(Faxed or mailed applications will not be accepted)
* Entry may be closed before the deadline if applications for the number of allocated exhibition booths are exceeded.
* Applicants who have not experienced of the exhibition may be required to hand out the general outline of the company and business.
3) The number of booths that can be applied for
The minimum number of booths that may be applied for is one. There is no maximum limit. Applications for booths are accepted on a first-come, first-served basis. However, should the number of applications exceed the number of allocated exhibition booths, entry may be closed and the number of booths available for each applicant may be adjusted accordingly by the Secretariat.
4) Items for display
Based upon examination of the applications received, the Executive Committee Secretariat of the Tokyo International Anime Fair (hereinafter referred to as “the Secretariat”) will scrutinize the items intended for display and decide whether or not the applicants should be invited to participate in the Anime Fair.
In particular, the items for display should not offend public order and standards of decency or violate Tokyo’s Youth Development Ordinance or other relevant laws and regulations.
If there are any points that are unclear regarding items intended for display, the Secretariat may contact the applicant directly by telephone or request submission of detailed documents (catalogs, brochures, etc.) about the items.
The Secretariat reserves the right to refuse an application after examining its content. In such cases, the Secretariat will notify the applicant in writing.
5) Payment of exhibition fee
After the application for the exhibition, the Secretariat will demand to pay the fee through the bank account within a definite period of time. If the fee has not paid by the appointed time, the rejection of the exhibition may be occurred according to circumstances. Please, pay attention. Applicants should pay the extra charge for sending the fee through the bank account. The Secretariat will issue the receipt after accepting the receipt paid by the exhibitors at the bank.
6) Other
In order to maintain the safety and integrity of the management of the venue, the Secretariat reserves the right to refuse applications from regions that have been issued travel warnings by the World Health Organization (WHO) or the Ministry of Foreign Affairs.


3. Contract for exhibition

1) Term of contract
December 6 (Mon), 2004 – January 7 (Fri), 2005
2) Contracting procedure
The Secretariat will mail a booth map, indicating booth allotments, and two copies of the contract to all applicants after confirming receipt of the exhibition fee payment. Applicants are required to return one of the copies of the contract to the Secretariat after it has been signed and stamped with a seal.
The contracts will be effective upon the Secretariat’s receipt of the returned copy and applicants will be given use of the designated booth from the set-up period to the take-down period. In the event that an applicant fails to return one of the copies within the designated contract period, the contract will be considered valid unless an objection is received from one of the contractors.
3) Booth location and allotment
The Trade Fair Commission of the Executive Committee of the Tokyo International Anime Fair will determine the booth locations


4. Cancellation of application and invalidation of contract

1) Cancellation by exhibitor
Notification of cancellation of intended participation after January 10 (Sat), 2004 will incur the fee as following regulations.



January 8(Sat), 2005 – February 10 (Thu), 2005
After February 11 (Fri)
50% of the exhibition fee 100% of the exhibition fee

In such cases, various prepaid fees and charges will not be refunded.
However, in the event where participation becomes impossible due to accident or other unforeseen circumstances (such as natural disaster, etc.) as acknowledged by the Secretariat, the above rules may not apply.
2) Cancellation by the Secretariat of the Tokyo International Anime Fair
The Secretariat reserves the right to refuse the exhibitions from regions where the travel warnings are issued by the World Health Organization (WHO) or the Ministry of Foreign Affairs even after the contract is confirmed. In such cases, full prepaid fees and charges will be refunded. However, the organizer will not compensate any extra expenses for the exhibition or any damages resulting from such cancellation.


5. Exhibitors’ orientation meeting
Exhibitors’ orientation meeting will be held toward the end of November, 2005
* Details of the schedule will be informed later.
Full support will be given to exhibitors regarding such matters as booth layout and displays, filling out necessary forms, orders for booth construction work, contacting buyers, etc. Please do not hesitate to contact us.


6. Items for display
1) The items for display should not be deemed offensive to public order and standards of decency or violate Tokyo’s Youth Development Ordinance, and in principle the items should be approved by the Secretariat in advance.
2) Items which display specific political or religious content are strictly prohibited.
3) Exhibitors must describe the contents and items for display in their applications.
4) If an exhibitor has been unable to decide upon the details of his or her display at the time of application, the exhibitor should list the outline of the display. Details must be determined by the time of the exhibitors’ orientation meeting, stated in the appropriate form, and submitted to the Secretariat.
5) Should there be any changes to the content of the display after submission of the application, the exhibitor must notify the Secretariat in writing and obtain approval. Exhibitors are not allowed to display items differing from the content and items that have been approved in advance by the Secretariat without notification. Any such display will be removed.
Furthermore, if malicious intent is observed, the Secretariat may demand the exhibitor to suspend exhibition. In this case, the exhibition fee as well as any cost associated with removal will not be refunded.
6) Any exhibit that violates the Tokyo’s Youth Development Ordinance or other relevant laws and regulations will be removed regardless of the reason for its exhibition or display. The exhibition fee will be handled in the same manner as described in the preceding paragraph.


7. Sales of display items
1) Merchandise sales period: April 2 (Sat) and 3 (San), 2005
* Sales of display items are not allowed on Business days.
2) Location: In exhibitors’ booths
3) Merchandise for sale must be notified to and approved in advance by the Secretariat at the time of application. Handling of such items will be subject to the same rules with respect to content and items for display.


8. Prohibition of distributing printed matter outside booths

Distribution of printed matter in public spaces (Galleria, Concourse, Entrance Hall, and Atrium) outside exhibitor’s own booth is prohibited.
In places which the Secretariat approves, however, this rule does not apply.


9. Management of the venue

1) The Secretariat will undertake management of the entire venue and take such steps and measures as necessary to ensure the smooth operation of the fair as required in the Exhibition Requirements and the Exhibitors’ Guide.
2) Items for display and decorations should follow the rules for use of Tokyo Big Sight, disaster prevention guidelines, and the Fire Services Act. Details will be explained at the exhibitors’ orientation meeting.
3) Exhibitors will be responsible for any theft, loss of display items, fire or any occurrence of non-natural disasters in their booths. The Secretariat will accept no liability for damage or other responsibilities.
Therefore, exhibitors are recommended to take out a policy of insurance or undertake other measures as appropriate.


10. Cancellation of the fair
The fair may be canceled due to natural disaster or other unforeseen circumstances. Prepaid exhibition fees will only be reimbursed if the Executive Committee decides to cancel the fair before its opening. However, the organizer will not compensate any damage resulting from any such cancellation.


11. Change of dates and/or hours of the fair
The Secretariat may change the dates or hours of the fair due to unavoidable circumstances. Exhibitors may not cancel their participation in the fair or dissolve a contract on the grounds of such changes.
The organizer will not compensate any damages resulting from any such changes.
